Job Description

Our client is seeking a Branch Receptionist and Coordinator for their Eastbourne office.The role is 9 to 5 2 days a week. Monday and Tuesday or Thursday and Friday. PURPOSE OF THE JOB To make a significant contribution to delivering maximum sales opportunities by effective and efficient diary management, seeking and securing home-made appointments, provision of exceptional customer care, maximising sales of accessories and care plans and ensuring a well presented branch consistent with premium brand. PRIMARY DUTIES Diary Management manage multiple dispenser diaries to maximise appointment potential Make real forward booked appointments, in line with policy & training, for existing customers and prospects Respond to hot leads by calling enquirer promptly, ideally within 5 minutes of receiving lead Maximise appointment attendance by confirming all appointments with clients, approach to be in line with policy and training (inc how to find us etc.) Reschedule and bring forward appointments tactically to maintain full diary, including intelligent contingency planning in line with policy Ensure that morning huddle outcomes are actioned and reported in a timely manner Be proactive in local appointment generation Liaise as appropriate with tele-appointer and dispenser colleagues Customer Care provide premium brand service to customers and prospects Meet and greet clients warmly and professionally and provide refreshments Answer all inbound calls according to policy. Operate buddy approach in line with policy For the exceptions that go to voicemail, respond with call backs etc., ideally within 5 minutes Deal with telephone and personal and written enquiries quickly and with a satisfactory outcome for the customer/prospect Ensure the branch (and telephone answering) is open and fully operational during stated hours Sales take the initiative to promote the wellness programme, sell accessories and care plans, etc. Proactively promote Wellness Programme to achieve referrals, following up by calling names to secure appointments Open conversation with customers to offer accessories at every opportunity Promote the benefits of customer care plan whenever possible Always suggest direct debit on care plans Following up with lost users and out of warranty Ensure adequate stock Consistently looking for opportunities to help contribute towards success Presentation of branch and self Ensure branch is safe, clean, hygienic and in good decorative order and presented to brand standard, inside and out including testing of fire alarms and acting as an appointed person for incidents and first aid. Be smart and presentable, including wearing Company uniform Contribute to air of calm professionalism by respecting colleagues and customers Ensure product and literature displayed to brand standard Ensure branch equipment well maintained Be punctual ---------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- Administration timely, accurate and orderly general support: Keep accurate records, on Company systems and manually as appropriate Maintain confidentiality of client and company information in line with data Protection requirements Ensure appointment details are accurate and helpful and regularly updated and communicated Update system with appointment outcomes within laid down timelines Secure cheques and cash received and bank according to policy Separately maintain accurate petty cash, ensuring sufficiency day to day Maintain accurate and timely weekly sales and stock reporting Stock ordering as appropriate Handle incoming and outgoing post Contribute to communication, team spirit and professional development by taking part in daily huddles and attending team meetings and training events as required. On some occasions travel to cover other branches may be required. The person in this role will be motivated and strive towards targets, taking a logical and systematic approach but using their own initiative where required in changing and challenging situations, where they may on occasions be working alone in the branch. The Job Profile also calls for a person who is able to negotiate and advise others whilst continually working to high standards and handling difficulties when they arise. The person should be able to create and maintain goodwill, give logical, precise and factual information in a methodical and structured manner. The job incumbent will ideally be a friendly communicator, who is confident, enthusiastic, approachable, somewhat conventional, accommodating. Diplomacy and working within clearly defined parameters, in a predictable climate are other aspects which may be involved in the job. The incumbent should have the persistence to see a job through to conclusion. Providing a service to people, coupled with the selling of ideas in administrative, specialist or technical areas is also a key part of the role.
