Daily tasks and key responsibilities:
- Writing and dispatching letters, keeping accurate and detailed records of all papers and electronic correspondence including accurate filing of staff and service user files for future reference.
- Answering general queries by telephone, taking messages as needed, ensuring any messages left are passed on to the relevant person in a timely manner.
- Photocopying, scanning and emailing documents.
- Sorting and opening post, taking action as required.
- Maintaining records, filing systems, computer files and shredding documents.
- Ordering stationery with the approval of the Office Manager.
- Assisting the Office Manager/General Manager and other Managers within the company with administrative duties.
- Researching information as required using various media.
- Maintaining the office including cleanliness, Health and Safety, files, notices and information carousel.
- Meeting and greeting visitors, making sure they are supported with requirements including housekeeping/amenities.
- Overseeing the visitors book and ensuring this is used by all visitors to the office.
- Maintaining the Phoenix Support Training database and ensuring that all training requirements for employees of the organisation are met and learning in kept up-to-date.
- Organising training sessions in accordance with the requirements of the organisation, including the book of venues and negotiating times, prices and providers.
- Maintaining the social media pages of the organisation e.g. Facebook and Twitter and ensuring that these are kept up-to-date and promote the organisation in a positive light and in accordance with policies.
- Updating the Phoenix Support website with up to date and relevant news stories that promote the organisation positively and inform users of the website. Ensuring that the website is monitored and updated regularly.
- Provide regular reports in regards to training.
- Undertaking ad-hoc administration duties as and when required to meet the organisational needs.

- Excellent organisational skills
- Clear communication both written and verbal
- Demonstrates a loyal and confident approach to the requirements of the role
- Good diary management
- Proficient with keyboard and computer skills but adaptable to solve lack of knowledge areas
Skills Required :
- Previous experience working with an administrative role would be an advantage.
- Experience working with tact, judgement and recognition of own limitations
- Intermediate level with Outlook, Word, Excel and Powerpoint
- Able to work under pressure to targets and work in accordance to deadlines set
