Job Description

Principal Responsibilities:




  • Participates in filling the appointment diary when required; including telephone, email and mail recall.

  • Does not take comments/constructive criticism personally.

  • Is not emotionally involved

  • Works with the Practice Manager and Optometrist to ensure turnover increases year on year

  • Maintains regular communication with the Optometrist Team to discuss and grow conversion rates, training, hand-over techniques and recommendations

  • Promotes the practice by being an ambassador for the business: displaying professionalism and building trust with patients and the team at all times

  • Behaviour, attitude and tone of voice are professional, never grumpy or rude, always patient, never anxious or frustrated



You always put the needs of the customer first:




  • Stands, smiles and greets the patient/visitor in a welcoming manner.

  • Use appropriate language to discover the needs and wants of each patient.

  • Follow up with patients when/where required to keep them informed of decisions/developments.

  • Adapts communication style to fit the audience in order to achieve positive results

  • Excellent listening skills

  • Always puts the needs of the patient first and seeks to delight them at every encounter with you and the practice



As an Optical Assistant you take great pride in supporting the practice team in helping customers select and succeed in their new glasses;




  • Assist patients in selecting frames and lenses within current competency

  • Be competent in performing minor frame repairs

  • Assist in preparing the practice for patients on clinic days

  • Gain knowledge of and assist patients in the selection of contact lens solutions subject to competency

  • Assist in general admin duties such as order reconciliation, till sales, completion of forms, invoice reconciliation etc.



You understand that the retail environment can contribute towards making a positive impact on our customers:




  • Frame displays clean, fully stocked and in correct order.

  • New stock is visible, frame displays always clean and full

  • Stock priced correctly according to instructions



You understand that the little things really matter and take your detailed administrative duties seriously:




  • Maintains full and accurate records.

  • Ensures patient contact details are current, requesting an email address.

  • Ensures all patient/patient representatives sign GOS forms as appropriate at the time of exam/dispense.

  • Maintain reception and waiting area in a pleasing, orderly manner.

  • Aware of diary timings and potential issues with the clinic, keeping the team/patients informed of any delays.

  • 50% deposit/full payment required on all sales unless otherwise authorised by the Practice Manager.

  • Ensures 50% deposit/ full payment when required on all sales

  • Assists where required ensuring invoices and statements are correct, returns are completed and credit notes issued.

  • Returns are dealt with according to practice policy, ensuring free returns where possible

Future Prospects : On successful completion of the Customer Service Practitioner Apprenticeship, there will be opportunity to undertake further training to be an optical dispenser.
