Job Description
- Provide administrative and secretarial support to the City Catering Southampton team.
- Receive and deal efficiently and sensitively with telephone enquiries and greeting visitors using the principles of customer care, taking and actioning messages as necessary.
- Creating letters and memos.
- Order and purchase of various office sundries including stamps, stationery, milk.
- Filing: create and maintain physical and electronic files to support City Catering business processes and maintain these to the required standard. Responsible for reviewing retention and destruction dates and undertake file culling: shredding and archiving as required.
- Data entry, updating spreadsheets with accuracy.
- Assist in the organisation and arrangement of meetings, to include the preparation of agenda items, taking minutes, booking venues, equipment and hospitality.
- Organise social and training events for colleagues.
- Utilise email and electronic diary systems to aid communication in a proactive manner to support the effective and efficient provision of the service.
- Provide business support in the maintenance of the company’s Human Resources, benefits and training administration.
- Record information, administer, monitor and disseminate reports for Health and Safety, risk assessments, accident reporting, compliments and complaints. Update Health and Safety manuals.
- Use of various office equipment including photocopier, laminator and fax machine.
- Create accurate forms and labels for various mail-outs.
- Opening and distributing post, booking couriers. This may involve physically taking post to a different office location.
- Perform any other duties commensurate with the post.
