Job Description
To undertake a range of business / technical support functions in response to service specific needs or instruction from the Business Support Supervisor, including:
- Data input and retrieval
- Environmental Management records – electronic and paper
- Processing and distribution of incoming and outgoing mail
- Assisting in the procurement of goods and services
- Maintaining data quality in relation to all Environmental Management records
- Preparation and collation of information
- Assisting with the collection of data for the Service Key Performance Indicators
- Checking documents / information
- Reception / telephone
- Procuring agency staff via the Hays system
- Word processing
- Logging customer / member queries
- Processing time sheets
- Duty desk administration
- To assist in the establishment and maintenance of appropriate systems and procedures, both manual and computerised
- To receive enquiries / request for service in a courteous and customer-friendly manner and record and direct as appropriate
- To undertake general business support functions, as appropriate, eg photo-copying, file / information retrieval, mail-merge and post duties
- To assist in the maintenance of computerised / manual information systems and updating of records
- To provide assistance to the Business Support Supervisor, advising him / her of any key issues and problems arising in the team
- To maintain safe and responsible working methods in accordance with legal requirements and good employment practice and to ensure all relevant Health and Safety procedures are adhered to at all times
- To provide technical assistance; information and guidance on any issues relating to the provision of the service
Secondary Duties:
- To participate in Council programme of in-service training as a learner
- To undertake such other duties and responsibilities as may reasonably be determined by the Service Head (or nominated representative) in consultation with the post holder (and if he / she so wishes, with his / her Trade Union representative)
- To be familiar with a range of IT systems
- To ensure the effective use of office equipment and machinery and to make use of such facilities
- To assist, when required, in activities to promote and publicise apprenticeships within the Council
