Job Description

Apprentice – Learning Resources Team



To provide administrative support to teams and support services, following administrative procedures. Throughout which you will undertake a level 2 apprenticeships to include on the job training under supervision and the completion of relevant qualifications.




  • Supporting the Learning Resources on a day to day basis in ensuring that employees are able to attend training sessions



DUTIES & RESPONSIBILITIES




  • To provide and receive routine information verbally, in writing or electronically to inform work colleagues, patients, clients, carers and the public/external contacts

  • Will demonstrate a competent level of inter-personal skills when providing information of a non-clinical nature of staff, clients, carers, public/external agencies maintaining the organisations standards of customer service

  • To contribute to team meetings

  • To accurately record information

  • To liaise with members of staff in relation to their training requirements

  • To deal with enquiries effectively and responsively, deciding upon appropriate action.

  • To make judgements in resolving problems of a customer service or administrative nature within pre-defined limits, referring anything of a more complex nature to a supervisor / senior member of staff

  • To plan and organise daily tasks within parameters set out by supervising staff

  • To assist with the arrangement of meetings, may be required to take notes of a non-complex nature

  • To support other team members in planning for the training provision for the organization

  • Standard keyboard skills

  • Maintain up to date training and knowledge to effectively move and handle equipment in a safe and effective manner

  • Incidental patient contact

  • To be aware of, and adhere to all relevant organisational policies and procedures e.g. Fire, Health & Safety, Information Governance, and Infection Control

  • To contribute to the ongoing development of administrative services by proposing improvements to, and assisting with implementation of agreed changes in, working practices and/or procedures for own work area

  • To assist with the monitoring of stock levels of stationery

  • To assist with maintaining resources i.e. Training packs, publicity materials etc.

  • To use office equipment in an appropriate manner, reporting any faults following recoginsed orgainisational procedures

  • To assist with the development of employees, students and trainees in an equivalent position

  • To input data onto a computerised systems

  • Text processing as necessary to the role

  • To maintain records both manually and electronically, producing routine information as required

  • To contribute to the maintenance of accurate and up to date filing systems

  • To contribute to research projects/audits/surveys within the service under supervision

  • Works within well established procedures under supervision

  • Uses own initiative to resolve problems of a customer service or administrative nature within pre-defined limits



General Duties:




  • It is the responsibility of each member of staff to maintain confidentiality at all times

  • Staff must be aware of and adhere to the provisions of the Health and Safety at Work Act and to ensure their own safety and the safety of colleagues and patients.  Staff must also be aware of the action to be taken in the event of fire and must attend a fire lecture annually

  • Manual handling training must also be attended on induction and thereafter bi-annually. Staff that are required to move patients are required to attend advanced training annually.  Other mandatory training requirements that are relevant to the post must be decided during Personal Development Review and a training plan developed

  • Staff should be aware of their individual responsibilities under the Trust’s Equal Opportunities Policy and ensure that they adhere to the provisions of the policy

  • Staff should ensure that their actions support the aim of the organisation in ensuring that all children up to the age of 18 years are protected from significant harm, abuse and neglect, within the framework of multi-agency Child Protection services established in the Guidelines and Procedures issued by the Local Safeguarding Children Board and must comply with the responsibilities identified in Section 11, Children Act 2004

  • Staff should ensure that their actions support the aim of the organisation in ensuring that all Vulnerable adults are protected from significant harm, abuse, and neglect within the framework of the Multi Agency Safeguarding Adults Policy established in the guidelines and procedures issued by the Local Safeguarding Adults Board

  • Infection Control (these paragraphs relate to clinical staff)

  • Maintain and enhance standards of patient care, through the implementation of continuous quality improvement initiatives such as “Standards for Better Health” and Essential Steps to Safe Clean Care to support the prevention of Health Care Associated Infections

  • Ensure high standards of environmental cleanliness are maintained across the Trust Sites through involvement in audit and regular feedback through business unit governance frameworks and liaison with the Domestic contact Monitoring Officer

  • Infection Control (this paragraph relates to both clinical and non clinical staff) - Infection Prevention and Control is everybody’s responsibility. All staff, both clinical and non clinical are required to adhere to CHCP’s Infection Control policies and make every effort to maintain high standards of infection control at all times, thereby reducing the burden of Health Care Associated Infections. Staff have a responsibility to ensure they attend mandatory infection control training provided by CHCP.

  • This job description is not meant to be exhaustive. It describes the main duties and responsibilities of the post. It may be subject to change in the light of developing organisational and service needs and wherever possible change will follow consultation with the post holder

  • Effort criteria – the frequency with which the post holder is expected to deal with the following areas should be indicated e.g. average over a day, a week, a month or a year

  • Frequent requirement forattending either at VDU or reception desk

  • Frequent lifting and handling of heavy boxes e.g.  boxes of heavy reams of paper and any other office and clinical supplies

  • Covering busy reception desks, constant interruptions from telephone calls, colleagues and visitors. Concentration needed when making appointments for patients, typing up documents

  • Occasional exposure to distressed, aggressive employees

  • Could be required to use VDU for frequent periods

  • Occasional exposure to distressing circumstances over the telephone

Future Prospects : This is a 12 month fixed term contract as an apprentice. There may be potential for Band 2 work at the end of this via the recruitment process internally and externally.
